Terms and Conditions

Last updated 21 October 2026

These Terms and Conditions govern use of the academic publishing platform operated by Yıldız Technical University (YTU Publishing, YTUP, “we” or “us”). They apply to readers, authors, reviewers and editorial users. Use the relevant journal’s instructions, publication agreement and policies alongside these platform terms: editorial requirements and publication arrangements are not identical across all journals.

1. Scope and journal-specific information

The platform provides access to scholarly publications and tools for submission, editorial assessment, review and production. A journal page may also link to an archive, external service or independently organised event. Check the identity of the journal, organiser or service provider and the conditions applicable to the action you intend to take.

These terms do not replace an article’s stated reuse licence, a signed publication agreement or rights provided by applicable law. If notices conflict, request clarification from the publishing office before relying on an assumed permission or obligation.

2. Accounts and access

Provide accurate registration details and keep your contact information current. Use only an account that you are authorised to operate. Accounts and credentials are personal; sharing a password is not a substitute for assigning an editorial role. Workspace permissions depend on your active assignments and the relevant journal’s workflow.

  • Keep passwords and password-reset links private, and sign out after using a shared device.
  • Tell the publishing office promptly if you suspect unauthorised account access or an incorrect role assignment.
  • Do not impersonate another researcher, use a false affiliation or claim authority to act for co-authors without their agreement.

Access to a particular workspace may be restricted when its assignment ends, or where needed to investigate misuse or protect confidential information. A visible menu or technical ability to open a page does not grant permission to act outside your responsibilities.

3. Acceptable use of the service

Use the platform for lawful scholarly and publishing activities. Do not upload malicious files, attempt to bypass access controls, collect confidential manuscript information without authority or interfere with other users’ work. Do not use contact details obtained through editorial work for unrelated solicitation.

Automated access must respect applicable rights and must not overload the service or circumvent restrictions. Linking to a public article is different from copying restricted files or representing a separate service as an official university platform. Report a suspected security problem privately; do not test it against other people’s accounts or manuscripts.

4. Author responsibilities and submission records

Before submitting, confirm the authorship list, author order, affiliations and corresponding author with your co-authors. Ensure the submitting author has authority to communicate with the journal. Follow the selected journal’s requirements for originality, simultaneous submission, prior dissemination, article type and supporting files; disclose relevant preprints, related manuscripts and earlier versions where required.

  • Supply an accurate title, abstract, author information, funding statement and any required declarations.
  • Obtain research ethics approval, participant consent and third-party permissions where applicable, and describe them accurately.
  • Disclose relevant conflicts of interest and use of AI-assisted tools in accordance with journal policy; authors remain responsible for the submitted work.
  • Keep original research records and explain substantive changes to authorship, data or conclusions when requested.

A locally saved form or server draft is not a completed submission. Check the confirmation and manuscript record after the final submission step. Do not assume that attaching a file automatically sends it to the editorial office.

5. Screening, peer review and decisions

A submission may first undergo technical or editorial screening. Editors may decline work without external peer review when it is unsuitable for the journal or does not meet its requirements. Where review is required, the journal’s workflow determines the applicable review model, reviewer requirements and decision authority. Reviewer recommendations inform a decision; they do not themselves guarantee acceptance.

A technical return asks for corrections while keeping the submission available for the specified next action. A revision request and a rejection have different consequences. Read the decision letter, attachments, requested changes and any deadline rather than relying on the status label alone. Acceptance remains distinct from completion of production and public publication.

Processing times depend on editorial checks, reviewer availability and the response needed from authors. Unless a journal makes a specific commitment, an estimated timetable is not a guaranteed decision or publication date.

6. Reviewer and editorial responsibilities

Treat unpublished manuscripts, reports, correspondence and personal information as confidential. Use them only for the authorised editorial task, and respect the journal’s blinding arrangements. Disclose relevant conflicts and decline or seek reassignment where impartial handling is not possible. Do not use unpublished findings for your own advantage.

Do not upload confidential manuscript material to an external AI tool, sharing service or other third party unless the journal permits that use and the required confidentiality and data-protection conditions are met. Reviews should address the research constructively and distinguish evidence from opinion.

7. Charges and financial information

Consult the selected journal’s published fee policy before submitting. Open access describes access to published research; it does not, by itself, establish whether an author fee is payable. The Journal of Thermal Engineering (JTEN) currently states that it has no submission fee, publication fee, article processing charge or page charge.

A generic field, a waiver option or a message from an unverified sender does not establish a charge. If payment information appears inconsistent with the journal’s policy, contact the publishing office before paying. Any applicable charge for another journal must be assessed under that journal’s stated arrangements.

8. Copyright and article licensing

Read the licence identified for the particular article and version. Different journals and archived works may have different conditions, including non-commercial restrictions. Submission does not itself place an unpublished manuscript under an open licence or transfer copyright. The journal’s publication agreement sets out the rights needed for publication.

The Copyright Statement explains attribution, third-party material, manuscript versions and permissions enquiries. Publication on this website does not remove privacy, confidentiality or other rights that may affect reuse.

9. Production, corrections and the scholarly record

Authors should respond to proof queries and check names, affiliations, figures, tables and declarations carefully. Substantive changes after acceptance may need further editorial assessment. Publication requires the relevant journal’s production and publication steps; an acceptance status is not proof that an article is already public.

Raise errors or integrity concerns with the journal, providing the article identifier and supporting information. A correction, expression of concern, retraction or, exceptionally, removal may be appropriate depending on the facts and applicable requirements. Withdrawal requests and complaints require assessment and do not automatically erase the editorial record.

10. Platform materials and external links

The platform’s branding, logos, design and software are distinct from article content and may carry separate rights. Do not imply university endorsement through unauthorised branding. External links are provided for relevant information or services; their content, availability and privacy arrangements are controlled by their operators.

11. Availability and research content

Maintenance, network problems or service interruptions can affect access. Keep appropriate copies of your own files and allow time before deadlines. Report an interruption that affects a submission with the manuscript reference and the time of the problem; avoid sending confidential files through an unsuitable channel.

Authors are responsible for their research and conclusions. Publication does not mean that every claim is endorsed by the university or that the work is suitable for a particular professional application. Evaluate methods, limitations and subsequent corrections when using research.

12. Responsibility and legal protections

Each user remains responsible for their own authorised actions and compliance with applicable obligations. Responsibility for a service failure, unlawful content or misuse is determined by the circumstances and applicable law. Nothing in these terms excludes liability or removes a statutory right that cannot lawfully be excluded.

13. Applicable law and concerns

These platform terms are governed by the laws of the Republic of Türkiye. Disputes fall to the competent courts and authorities in Istanbul, subject to any mandatory jurisdiction or protections that apply. Contacting the publishing office for assistance does not remove a right to use an available legal or regulatory remedy.

14. Updates and related policies

The date above identifies this version. Summary of Changes explains the scope of recorded updates. Privacy Policy describes personal-data processing and Cookie Policy explains cookies and browser storage. An updated general page does not retroactively replace an article’s licence or amend a signed agreement without the relevant legal basis.

15. Contact and complaints

For platform questions, contact editorial@ytupublishing.com. For a manuscript decision, use the journal’s editorial contact and identify the manuscript number, decision date and specific issue. Separate a technical problem from an appeal about editorial judgement so it can reach the appropriate team.
